THE OPPORTUNITY

GBGH is seeking a proactive and detail-oriented Project Coordinator to support the successful execution of multiple, concurrent, non-clinical projects of broad scope and high complexity across Facilities, IT, Finance/Supply Chain, and Support Services. This role supports the Manager, Facilities and Capital Planning to ensure that projects are delivered smoothly, on time, and within scope. The Project Coordinator will work closely with internal teams, contractors, and vendors to keep projects moving and resolve issues quickly. 

KEY ACCOUNTABILITIES & RESPONSIBILITIES

The scope of this role will focus on non-clinical project support but may assist with broader corporate initiatives as needed. The types of project will range from construction to supporting IT system enhancements to modernizing and streamlining support services processes. 

Planning & Coordination

  • Support the development of project plans, including scope, objectives, milestones, and resource requirements.
  • Coordinate and monitor project activities, budgets, timelines, and deliverables across multiple departments and with contractors/vendors

Engagement and collaboration

  • Facilitate cross-departmental collaboration and communication, including Facilities, IT, Finance, Corporate Services and Clinical Services.

Tracking and Reporting

  • Map workflow, track project progress and prepare regular status reports for leadership.
  • Assist in the evaluation of project outcomes and performance metrics.

Risk & Issue management

  • Assist in identifying risks and issues early, and work with project teams to develop mitigation strategies. 

Documentation & Compliance

  • Maintain accurate project documentation and ensure compliance with internal policies and external regulations.

Governance & Process Improvement

  • Support the implementation of organizational structures and processes for project governance and policy management. 
  • Assist with post-project evaluation and continuous improvement activities. 

Education & Meeting Support

  • Contribute to education and training initiatives related to project management principles and tools. 
  • Prepare meeting materials and facilitate or support action-oriented discussions 

 

QUALIFICATIONS & EXPERIENCE

The ideal candidate will possess the following key competencies, record of experience and academic preparation:

    • Post-secondary education in Business Administration, Project Management, or a related field.
    • Minimum 3 years of experience coordinating projects in healthcare, public sector, or a similarly complex environment.
    • Strong organizational and time management skills.
    • Excellent communication and interpersonal abilities.
    • Proficiency in Microsoft Office Suite and project management software (e.g., MS Project, or equivalent).
    • Demonstrated ability to “get things done” and drive progress.
    • PMP or CAPM certification is preferred but not required.
    • Change management experience is an asset
    • Experience working with contractors on construction projects.
    • Commitment to GBGH Values and Purpose Statement
    • As a partially designated French speaking organization, French verbal and written communication skills with solid presentation skills are considered an asset in this position

    Additional Preferred Attributes

    • Experience in facilities, IT, finance, or corporate project environments. 
    • Ability to manage multiple priorities and adapt to changing demands. 
    • Collaborative mindset with a proactive approach to problem-solving. 
    • Familiarity with healthcare infrastructure and redevelopment planning is a plus. 
    • Strong problem-solving skills
    • Ability to work both independently and as part of a team
